GM Report

9/16/2021

Background

Over the past two summers it has been abundantly clear that members prefer to remain outdoors whenever possible. We expect this to continue into the fall. However, as fall storms and cooler temperatures arrive, we know the movement indoors will begin, even unexpectedly.

If we do not already have proof of your fully vaccinated status and if you do not have proof on hand, we will be required to not allow your access into the dining room.

Indoor Dining

We define the indoor dining area as the main dining room only. You must provide proof to the Club that you are fully vaccinated in order enter the dining room.

The entrance washrooms, hallway access to the golf shop and stairs to the lower level of the Clubhouse and the sunroom are not considered to be a part of the indoor dining area. These areas are all available for use without providing proof of being fully vaccinated.

What is Fully Vaccinated

The province considers a person to be fully vaccinated fourteen (14) days after having received two (2) doses of the approved two (2) dose vaccines (Pfizer, Moderna and Astra Zeneca) or one (1) dose of the approved single dose vaccine (Janssen/Johnson & Johnson).

A person who has received two (2) different vaccines (such as a first dose of Oxford/AstraZeneca followed by a second dose of Pfizer or Moderna) is deemed fully vaccinated under this policy. This may, in time, require booster shots.

As a result, in order to dine indoors you must have received your second dose of a 2-dose vaccine (Pfizer, Moderna or Oxford/AstraZeneca or combinations thereof), or their single dose of a 1-dose COVID-19 Johnson & Johnson vaccine by September 8, 2021, to qualify as fully vaccinated under the Provincial mandate by September 22, 2021.

Proof of Vaccination

Members wishing to access the dining room must submit their proof of vaccination via email to Gary Ward at [email protected] or drop it off at the Club to the attention of Gary Ward.

Children Not Yet Eligible for Vaccination

Effective September 22, 2021, children not eligible for vaccinations may use the dining room when accompanied with parents or guardians who have provided proof that they are fully vaccinated.

Guests

Effective September 22, 2021, only fully vaccinated guests will have access to the dining room.

Members will be responsible to inform their guest/guests of the Policy and have them prepared to provide proof they are fully vaccinated plus proof of identity (photo ID) to the Club a minimum of 3 days in advance of attending the Club. This information must be submitted via email to Gary Ward at [email protected]

Masking Policy

The Club will continue to require masks to be worn at all times when inside the clubhouse, other than when dining and in accordance with local public health regulations. Members may choose to wear a mask at any time over and above current published protocols.

Confidentiality

The Club takes the privacy of its members, guests, and staff seriously and ensures appropriate steps are undertaken to comply with applicable privacy laws.

An individual’s vaccination status is personal information that is not shared or disclosed outside the scope of a limited number of authorized Club Management, and even then, only for the limited purposes of implementing the Policy.

Other

The Policy will be reviewed periodically by the Board and will be updated as the situation evolves.

We recognize that because of this change to the Regulation, some members, guests and staff who are not fully vaccinated will not have access to the dining room.

The Club supports all efforts to provide the highest level of safety to as many members, guests, and staff as possible.

Since the outset it’s been our priority to ensure that our operations continue to stay open, and that The Mad River community can continue to live, work, and play safely.

We strongly encourage all those who haven’t done so yet to get fully vaccinated as soon as they are able and in accordance with Public Health guidelines.

We will be reviewing the Club’s vaccination policy for the 2022 season and will keep you informed over the winter months.

Thank you,

Bob Cook,                                                                                                                             Gary Ward.
